The information on this page is only applicable to the Global 30 International Programs. For the other programs, please visit the website of each school for the detailed admissions information. Please note that only complete applications submitted during the application period of each graduate school will be processed.

What to Submit (General Information)

Generally, many graduate program applications require you to include the following documents. We suggest you carefully read the application requirements for the program you’re applying to. You are always welcome to contact the graduate school directly for any specific questions regarding the admission process and eligibility criteria.

Graduation Diploma/Award Verification Letter*

Award verification letter (e.g., Certificate of Graduation) of your bachelor’s / master’s degree. Or Prospective Graduation Letter if you are currently enrolled in a degree program.
Must include the school’s official seal or signature, a degree title and a date of (expected) graduation.

This document must be submitted to the International Admissions Office either as an official hardcopy by post or as a digital academic statement through one of the official digital credential services listed below.

Please note that we do not accept simple PDF copies uploaded through our application system, nor unsigned or unstamped PDF copies sent by applicants by post.

Academic Transcripts*

Academic transcript for undergraduate / graduate education.
Must include the school’s official seal or signature and attach a grading scale or grade assessment standards.

This document must be submitted to the International Admissions Office either as an official hardcopy by post or as a digital academic statement through one of the official digital credential services listed below.

Please note that we do not accept simple PDF copies uploaded through our application system, nor unsigned or unstamped PDF copies sent by applicants by post.

English Proficiency Test Scores through Testing Institution

Please upload a PDF copy of your English proficiency test results or your English as a Medium of Instruction (EMI) Certificate from your university to the online application portal.

In addition, your official test results must be sent directly to us by the testing center using the codes below, so that we can verify your scores:

  • TOEFL: 7256

  • IELTS: Nagoya University International Programs

  • Duolingo English Test: Nagoya University Undergraduate Admissions

Applicants submitting an EMI Certificate from their university are also required to provide an official hardcopy issued by the university, either by post or through one of the official digital credential services listed below.

GRE Test Scores through Testing Institution

Submitting GRE test scores are recommended but not mandatory.

Research Proposal

Upload on to the Online Admissions System. Check to see if there is any word count limit or you need to use the designated form. 

Letter(s) of Reference

Sent directly from the referees through the Online Admissions System.

Summary of Graduation Research

Summary of graduation research for your undergraduate / graduate education. Check with the admission requirements to see if you are required to use the designated form. 

Major Publications

(If any) Upload digital copies of any publications and academic paper on to the Online Admissions System. 

Documents Showing Other Strengths

(If any) Could be anything to strengthen your application. If written in a language other than English, the document(s) must be translated and verified by a notary and attest the quality or accuracy of the translation. 

Copy of Passport / Government Issued ID card and Copy of Residence Card

Please upload this document to the Online Admissions System. If you have dual citizenships and hold a Japanese nationality, please submit a copy of your Japanese passport as well. Foreign nationals residing in Japan need to submit a copy of the front and back side of their residence card (在留カード). 

Only for Nagoya University Students

Certificate of Enrollment must be uploaded on to the Online Admissions System if you are a Research Student or currently enrolled as a full-time student at Nagoya University.

Only for MEXT Scholars

MEXT Scholarship Certificate or Letter of Provisional Acceptance

Any Other Documents(*)

Please carefully read the admission requirements for the program you are applying to. Some graduate programs may ask you to write a statement of purpose in addition to a research proposal, or to submit a letter (or an email) from professors you contact asking to be a supervisor. 

How to send digital academic statements via online platforms

If applicants have completed previous studies in Australia, New Zealand, India, Ireland, Japan, Spain, UK, Canada,or China, and have accounts with My eQuals/Digitary CORE/MyCreds/MesCertif, or CSSD they can share digital academic statements via these secure online platforms. 

Submission Instructions:

① Go to the platfom of your digital credentials provider. The provider must be one of the ones listed above.

②Select the documents you want to share with us and click “share selected” and click “Send my documents to a registered organization”.

③ Select “Email” and fill out the required details.

*If you can only provide a digital copy of some of your academic statements but your service provider is not listed above, you need to contact the graduate school you are applying to in advance and ask if the submission method is accepteble. Most cases they will ask you to send an official hardcopy by post. 

How to send hard copies of official / certified documents by post

We only accept certified true copies as valid documents if they are authenticated in one of the following ways. Applicants must send hard copies of these documents by the specified deadline using a registered mail service.

  • A hard copy sealed or signed by the relevant authority

  • A hard copy certified by the relevant authority as a true copy

  • A hard copy notarized by a public notary

Submission Instructions:

  • The applicant’s full name, applicant ID, and program name must be written on the envelope when submitting application documents by post.

  • If documents are sent before the application period begins, the applicant ID may be omitted. An applicant ID will be issued once an account is created on the Online Admission System.

Applicants who fail to submit the original documents or certified true copies by the deadline will be regarded as having withdrawn from the admissions process.

Regarding degree certificate

Please DO NOT send a diploma placed in an elegant diploma folder/cover or wooden frame. It’s strongly recommended that applicants submit a degree award letter issued by school, instead of a diploma or award certificate – the document you are given upon completion of a course of study at a university or college that can’t be reissued or replaced with another document. Some graduate school won’t accept this format of certificate.
